Getting the most out of your property management systems

Too many property management companies neglect to take advantage of what their software has to offer. If you think this could be you, take a step back and consider the following ways to improve your property management and accounting systems:

  1. Encourage your employees to jot down notes and ideas whenever they perform a task that is painful or if they think “there has to be a better way.” Aggregate these suggestions on a spreadsheet and rate them. Then, schedule on-going monthly or quarterly meetings with your software expert to identify and solve the top three easy-to-implement issues and one difficult one.
  2. Provide employee training where needed. Don’t be surprised if your software consultant tells you that some of the items on your list are already included in your system and all that’s needed is some training. Training is the easiest way to improve the return on your software investment. Whenever an employee complains that the software won’t do something, or that it takes too long to perform a task, make sure that their assessment is not based on lack of knowledge. It is not uncommon for someone to have learned the software from their predecessor whose knowledge was based on an outdated release.
  3. Explore third-party solutions that integrate with your system. Or, inquire if your software company has an add-on module. You may discover that a solution already exists and you just need to purchase or implement it.
  4. Customize your system and automate your processes. Perhaps you don’t need a full-blown specialized application but you do have some special reporting requirements. Robust systems should provide you the flexibility to customize. For example, maybe your team still regularly uses Excel, Word, or Access to produce reports and is keying information in manually. A customizable system can automate these processes to save you time and money.
